Terms of Service & Use
The legal agreement governing your subscription, 30-day risk-free trial, roastery data ownership, and use of the BeanTrack OS platform.
1. Acceptance & Eligibility
By creating an account, selecting a plan, clicking “Start Free 30-Day Trial” or “Sign In”, or otherwise accessing or utilizing the BeanTrack OS software-as-a-service application, Bluetooth floor kiosk modules, and APIs (the “Platform”), you (“Tenant”, “Customer”, “User”, or “You”) agree to be legally bound by these Terms of Service.
If you are entering into this agreement on behalf of a roastery enterprise, commercial coffee estate, cafe chain, or corporate legal entity, you represent that you possess full legal authority to bind such entity to these terms.
2. 30-Day Risk-Free Trial Terms
BeanTrack OS offers a complimentary 30-day risk-free trial to new coffee roasteries and multi-hub brand operators. The terms of this trial are as follows:
- You receive 100% unrestricted access to green coffee bin ledgers, roast shrinkage yield calculations, CO2 degassing timers, AI predictive demand forecasts, and multi-store transfer requisitions.
- No payment card or bank mandate is collected at signup. You cannot be charged accidentally upon trial initiation.
- At Day 25, a courtesy summary of kilograms tracked and yield protected is presented to your dashboard.
- At Day 30, you may choose to activate a paid subscription tier or export 100% of your historical CSV ledgers with one click.
3. Subscription Tiers & Billing Administration
Following the trial period, continuous access to BeanTrack OS requires an active subscription tier:
- Year 1 Core Plan: ₹4,999 / month (billed monthly or annually). Designed for boutique micro-roasters with up to 2 hubs.
- Year 2 Growth Plan: ₹14,999 / month. Designed for scaling roasteries with up to 8 hubs, IoT degassing locks, and automated PO generation.
- Year 3 Enterprise Plan: ₹39,999 / month. Designed for multi-city cafe chains with unlimited hubs, custom ERP webhooks, and dedicated SLA.
Payment Processing & Tax Invoicing: Payments and recurring subscription charges are processed through certified, PCI-DSS Level 1 compliant payment gateways. Applicable GST, sales taxes, and statutory invoice receipts are generated in compliance with regulatory standards.
Cancellation Policy: You may cancel or pause your subscription at any time via your billing dashboard. Cancellations take effect at the conclusion of the current prepaid billing period.
4. Tenant Accounts & Role-Based Access Control (RBAC)
You are responsible for maintaining the confidentiality of your organization’s login credentials and managing internal user roles:
BUSINESS_OWNER: Full organizational authority, billing management, financial ledgers, and module provisioning.HEAD_ROASTER/WAREHOUSE_MANAGER: Green bean bin management, roast batch executions, and transfer dispatches.FIELD_OPERATOR/PACK_OPERATOR/STORE_MANAGER: Simplified touch kiosk interface, scale weight confirmation, packaging line QC, and dock receiving.
BeanTrack OS will not be liable for unauthorized access resulting from credential sharing among your internal staff.
5. Domain Physics, Linear Programming & AI Disclaimer
BeanTrack OS provides computational models for thermodynamic roast shrinkage (e.g. 1.15x light roast, 1.19x medium roast, 1.25x dark roast), CO2 degassing curves (24h/48h/72h lockout timers), AI predictive sales forecasting (linear programming), and FSSAI statutory blend ratios (≥51% coffee content).
These computational recommendations and automated alerts are decision-support aids designed to minimize inventory stockouts and shrink loss. The physical roasting parameters, moisture analysis, cupping scores, and food safety quality assurance remain under the direct professional discretion of your head roaster and operations staff.
6. Intellectual Property & Tenant Data Ownership
Tenant Data: You own all right, title, and interest in your coffee blend recipes, green coffee sourcing contracts, SCA cupping notes, pricing sheets, and sales records. BeanTrack OS does not acquire any intellectual property rights over your proprietary coffee data.
Platform IP: BeanTrack OS, including its user interface, algorithms, linear optimization engines, documentation, trademarks, and logos, is the exclusive intellectual property of BeanTrack Inc.
7. Service Availability & 99.9% Uptime SLA
We target a 99.9% uptime availability for our core cloud APIs and roastery database endpoints during normal operational cycles. Scheduled maintenance is conducted during off-peak hours with advance notification posted in the dashboard.
Our vernacular touch kiosks are built with local caching to maintain operational continuity on your roastery packaging floor even during transient broadband drops.
8. Limitation of Liability & Governing Jurisdiction
To the maximum extent permitted by applicable law, in no event shall BeanTrack Inc. be liable for any indirect, incidental, special, consequential, or punitive damages (including loss of roasted coffee inventory, spoiled batches, or lost commercial profits). Our total aggregate liability under this agreement shall not exceed the amounts paid by you to BeanTrack OS in the twelve (12) months preceding the claim.
These Terms shall be governed by and construed in accordance with the laws of India. Any disputes arising hereunder shall be subject to the exclusive jurisdiction of the competent courts in Bengaluru, Karnataka, India.
